You shouldn't have to ring us to ask where an order is

Most clients who come to us from another warehouse tell us the same thing: they spent half their week chasing updates. Where's order 4021. Has the big wholesale order gone out yet. Why has this one not tracked for three days. We built our platform so that conversation never has to happen. A client logs in and sees their own operation live - not a summary email that landed on Friday afternoon, but the actual state of things as they stand right now, including the scan timeline and the photo of the box before it left the building.

That's the point of all of this, really. Visibility on its own is nice to have. Visibility paired with the ability to actually do something about what you're seeing is what makes a UK 3PL worth paying for. When something goes wrong, our clients have the levers in front of them - release, part-ship, substitute, reprioritise - and they're not sat waiting on us to pick up the phone.

A dashboard that shows the day as it happens

Log in and the first thing you see is today, this week and this month side by side - orders processed, couriers and services used, where orders are landing by country, and which products are moving fastest. There's an hour-by-hour breakdown of order volume too, which sounds like a small thing until you're trying to work out why yesterday afternoon was so busy, or whether a TV appearance actually shifted stock the way you hoped.

Two numbers sit at the top deliberately: how many orders are currently parked for review, and how many have errored. Nothing sits unnoticed in a queue somewhere. If that number is at zero, you know your orders are moving. If it isn't, you know exactly where to look. You can install the whole thing as an app on a phone, tablet or desktop and opt in to push notifications, so you're not even logging in to know something needs attention - it tells you.

Proof, not paperwork

Every single order carries a complete event log - the lines, the recipient, the courier and service used, tracking, duties and tax applied, any attachments, and a record of everything that has ever happened to it from the moment it landed with us. For clients who need to show a customer or a marketplace exactly what happened, we generate a per-order PDF process record: the pick scan timeline, the pick photos, the lifecycle and tracking events, all in one document. There are deliberately no money figures on it. It's evidence of what we did, not an invoice, and that distinction matters when you're forwarding it on to someone else.

Control that stays with the client, not with us

A lot of warehouse fulfilment providers treat the client as someone who submits orders and waits. We'd rather hand over the controls. You can create manual orders yourself - a standard one, a back-door order for a telephone sale or one-off, or a future-dated order that deliberately stays out of the queue until a date you choose. While an order is still unpicked you can edit the address or the lines, hold it to a specific date and time or indefinitely, or mark it urgent so it jumps your own queue without touching anyone else's.

If two orders are heading to the same person, you can combine them into one parcel rather than paying for two deliveries. You can switch the shipping service on a queued order, one at a time or in bulk, and if you've got a batch of order references sitting in a spreadsheet you can paste them straight in and instantly see which ones we've already got and which we haven't. For businesses selling against stock that hasn't landed yet, pre-arrival holds and priorities let you decide in advance what should happen to those orders rather than finding out after the fact. It's the kind of thing that matters a lot to B2B fulfilment clients juggling staggered container arrivals, and just as much to a B2C brand running a pre-order campaign.

Nothing fails silently

This is the part we'd argue actually separates one fulfilment warehouse from another. Anyone can ship orders when everything goes smoothly. The real test is what happens when a SKU isn't mapped, stock runs short, or an order duplicates itself on your sales channel.

Our errors page shows exactly what failed and why. If stock has come back in, tick the affected orders and release them all back to picking in one action, rather than working through them one by one. Orders parked for human review - an unmapped SKU, short stock, a suspected duplicate - land on what we call the OMS, where you can edit the lines, explode a bundle back into its components, delay the order, force it through, reprioritise it, request a substitute SKU, or just leave a message directly on the order for our team to pick up.

Sometimes the right answer isn't to hold the whole order hostage over one short line - so "ship what we have" lets you part-ship instead. And if you'd rather know about a problem before it becomes one, you can opt in to warnings for orders we genuinely can't ship yet: no carrier service covers that address, recipient details are missing, or customs data is incomplete. There's also a SKU Match Checker, where you paste in a list of SKUs and see which would actually resolve at intake, before they ever cause a hold-up.

Stock intelligence, not just stock counts

Knowing you've got "340 units" of something is only half useful. We show live on-hand stock, allocations, per-SKU locations, movements, and full batch and expiry reporting - which matters enormously if you're in food or beauty, where batch and expiry tracking isn't optional. Reorder recommendations are driven by each supplier's actual lead time, with cover flagged red the moment you'd run out before a reorder could possibly land, and suggested quantities sized to buy proper target cover on top of that lead time, not just a round number.

Beyond that there's an obsolescence predictor, stock-out cost reporting, returns analytics and case-pack breakdowns, plus stock valuation at both weighted average cost and RRP, grouped by brand. If you hold stock somewhere other than our building - your own unit, another 3PL, a consignment partner - our virtual warehouses let you record that too, so your valuation and availability figures reflect the whole business. Because the question a client actually asks isn't "how much is in your warehouse", it's "how much do I have" - across however many warehouses that might be. Pin the two dozen SKUs you check constantly as Hero Products so they sit at the top of the page, and if you ever need to know who changed what and when, full catalogue change history lets you search by SKU, by field, or by a previous value, and tells you whether the change came from the platform, a CSV, or a sync.

Catalogue work in bulk, without the risk

Catalogue CSV download and upload covers stock types, bundles and kits, and the download itself doubles as a restore point before you make any changes. If a platform SKU is really a six-pack pretending to be one item, convert it into a bundle in one click, or let the system read your sales-platform catalogue and build every pack bundle in one pass. Mystery SKUs let you sell a single listing and leave us to choose what actually goes in the box from a pool of products and bundles - popular with subscription boxes and surprise-bag sellers. Banned SKUs - virtual gifts, free promo merch, £0 placeholder lines - get ignored at intake instead of jamming the order queue, and the Export Centre lets you pull any dataset out as a spreadsheet with its own set of options.

Shipping that's engineered, not guessed

Delivery Options by Country lets you choose carriers per destination - Royal Mail, DPD, or both set to cheapest-of-both so the system picks whichever is less for that parcel - along with the duty term for each country. Full international duty handling covers DDU, IOSS DDU, IOSS DDP and PDDP, with the IOSS declaration periods and reconciliation sat behind it so you're not left trying to work that out yourself. Through our courier services and wider shipping services, this all runs automatically, per order, without anyone needing to check a box each time.

The Shipping Method Map wires your checkout's own delivery names - "Standard", "Express", "Premium Saver" - onto an actual carrier, service, tier and pick-queue rank, so an "Express" order genuinely moves up the physical queue rather than just sounding faster. Signature on Delivery can be set as a standing rule by order value, across any number of bands, or decided order by order. A Rate Card by weight band and destination sits alongside an Estimator, so you can type in a country and a weight and see what each service would actually cost before you commit to it. For anything odd shaped or oddly priced, we handle multi-carton shipments, per-SKU shipping overrides, and weight overrides for when the box doesn't quite match the maths.

Integration without the six-month project

Every pre-built channel integration runs as four independent jobs - orders in, products in, stock out, tracking out - each one runnable, pausable and schedulable entirely on its own. Quick Sync Actions give you one-click control to pull orders, push stock, or push tracking, with the result shown on screen immediately. The Sync Report is written in plain English about what failed and why, and who needs to do something about it - and it's honest about partial runs. Forty-seven pushed and three failed gets reported as three failures, not a green tick.

Clients we've handed the keys to get a self-service integration area with their own scheduling and controls, no ticket required. If you'd rather build your own connection, our data flow and API let you push orders in, cancel unpicked orders, and read stock, valuations, goods-in and out, and tracking - with sandbox keys that create drafts which never actually pick, scopes per key, IP allow-lists, rate limits, a full call audit, and one-click revoke. There's also an outbound order feed with cursor pagination and HMAC-signed webhooks for anyone who'd rather pull data than poll for it, plus a Shopify SKU debug tool that tells you exactly which variant a stock update landed on and scans the whole shop for duplicate SKUs. It all plugs into our wider work with FBA, FBM and QVC and TV shopping channels without you needing a separate project for each one.

Warehouse quality you can actually see

Picking is scan-verified throughout - every pick leaves a scan trail, not a tick box someone could fill in without looking. Parcel photos on dispatch are always available to the picker at no extra charge, and can be mandated as a standing rule if a client wants a photo on every single order. Pick confirmations handle the per-product checks that matter - a food-safety warning printed on the carton, an age sticker, a battery declaration - visible to the client with the fee clearly attached to each one, not buried in a general handling charge.

For brands running custom sendouts or needing contract packing, branded packaging and personalisation covers gift messages, personalised label names printed as an A4 gift sheet with a sheet of 35 stickers, plus banner labels, circular labels and monthly circulars pulled from saved presets. There's a GRN view for every delivery booked in, and temperature-monitored storage with continuous logging and alerting for anything that needs it - handy if you're storing clothing that's sensitive to damp as much as it is for perishable stock.

Account hygiene, quietly in the background

Every login is locked to a single client account, so everything seen, searched and exported belongs to that business and nobody else's. Role tiers mean warehouse-facing staff and finance don't need to share the same access. Tasks and reminders support multiple assignees, there's internal messaging straight through to the account managers on your account, and warehouse notices come with per-user read tracking so you know who's actually seen an update. Email preferences can be set to off, live, or a daily digest, whichever suits how you work. Essential Data - trading details, VAT number, EORI, company number, contact emails - gets reconfirmed periodically, so customs paperwork doesn't fail at the worst possible moment, and the Help Centre carries step-by-step walkthroughs plus a page that simply tells you what your particular login can and can't do.

None of this exists because it looks impressive on a sales call. It exists because clients who can see their own operation, and act on it themselves, stop needing to ring us - and the ones who do call are asking something genuinely useful rather than "where's my order".
