Secure Order Data Management for Website Fulfilment Services


At the heart of our warehouse and website fulfilment operation is a robust, secure, and highly automated order data processing system. Designed to seamlessly integrate with ecommerce platforms, ERP systems, and custom websites, our process supports data transfer via API, FTP, or direct upload—ensuring reliable and efficient communication between your storefront and our fulfilment infrastructure.

For most ecommerce websites, order data is transmitted using standard formats such as XLSX, CSV, or XML. This data is either directly imported into our secure database or temporarily held in a restricted-access FTP environment for processing within the hour. Our system also allows for manual input through our web-based WMS (Warehouse Management System), where users can upload bulk CSV files or enter custom single-order dispatches—ideal for ad hoc shipments or tailored campaigns.

Once ingested, order data flows through a predefined rules engine configured specifically for your business. This ensures each order is automatically routed to the appropriate warehouse location, assigned to the right packer, and processed according to service level agreements—reducing handling time and ensuring fulfilment accuracy.


To maintain operational integrity, every product requires a QR code scan before it can be picked, enforcing 100% scan accuracy. The system prevents progression unless the correct item is scanned, which virtually eliminates picking errors. While rare human mistakes can occur, our order pick accuracy rate consistently exceeds 99.99%, making us a reliable partner for high-volume ecommerce fulfilment.

Once picked and packed, orders are labelled with the appropriate courier shipping label and moved to the correct despatch bay for final processing. Tracking data is instantly returned to your system via API or file-based methods (CSV, XML, XLSX). Inventory levels are updated at the end of each picking day, ensuring you always have real-time stock visibility.

All order and tracking data is hosted on secure, encrypted servers, protected at rest and inaccessible from the public internet. Our data management practices are fully compliant with GDPR and modern data protection standards, providing peace of mind for clients who prioritise data security in their 3PL and ecommerce fulfilment operations.
