Food Storage and Distribution

We store and distribute ambient food products on behalf of a variety of clients, with our primary product lines including dry goods such as spices, chocolate, confectionery, and similar shelf-stable items. These goods are held within a purpose-designed, strictly controlled warehouse environment where temperature, cleanliness, and hygiene are continuously monitored and recorded in line with food safety standards. Our facility is regularly audited to ensure compliance with legal and industry regulations, and we follow structured cleaning schedules and pest control protocols to maintain a high standard of hygiene at all times.

All stock is meticulously booked in upon arrival, with goods recorded by product type, quantity, batch code, and best-before date (BBE). This information is used to organise the warehouse by date and rotation priority, ensuring the most efficient and compliant handling of each product. Our storage system is configured to enable fast access, full traceability, and maximum shelf-life preservation.

When it comes to picking, we follow a precise, tech-enabled process. Each product is picked using a unique QR code that includes embedded data such as the BBE and batch number. This process allows for pinpoint accuracy and full traceability from the moment a product is received to the point of despatch. The system is designed to automatically apply picking rules agreed with the client, such as minimum shelf life requirements or specific batch allocations for sensitive product lines. These checks are enforced in real-time, meaning no product that is out of date—or even approaching too short a shelf life—can be picked or shipped by mistake.

This level of control ensures that clients have full visibility of their stock throughout the storage and fulfilment process. Our portal allows clients to view stock availability by batch and expiry date, request specific stock releases, and review movement histories at any time. By combining robust digital systems with strict food safety procedures, we offer a dependable, transparent, and scalable storage and distribution solution tailored specifically to ambient food goods. .

FIFO and Use By Date

We do not specifically use FIFO as this is too basic for most food lines. We pick goods based on very strict rules. Each product can have it's minimum shelf life or BBE set based on your overall account setting, a setting based per each supplier, a setting based on each brand and finally one for each product. This allows for example, your overall account to ensure that nothing goes out with a use by date of less than 6 months. You may have a supplier of a product where the shelf life is always much shorter, and it is widely accepted so for that product. For that supplier you could set a minimum date of say 25 days. Within that supplier, there is a brand that requires a short turn around and shelf life of 5 days. Finally you could set one (or many) product within that brand to have a longer date of 15 days. The rules are then applied such that the product shelf life limit overules everything else. Next is the brand, then supplier and finally your account. This allows for rules to be set such that you never send goods that will be considered out of date.

Our WMS allows goods to be viewed based on their shelf life. This allows you to see what products need to be sold soon (ideal to discount rather than dispose) and what you have plenty of so do not need to order. Call us for more information of how this can benefit your business.

BBE/Batch QR Coded Product Selection

Our advanced QR code picking system ensures exceptional accuracy when selecting goods, with each item scanned and verified against the correct SKU, batch number, and best-before date (BBE). This level of precision supports full traceability and enables swift, targeted recalls if ever required. The warehouse management system (WMS) automatically organises stock based on expiry dates, allowing us to identify and flag short-dated or out-of-date products instantly. Orders are picked according to pre-set rules—typically prioritising items with a minimum agreed shelf life—ensuring only compliant goods are shipped. For more specialised or regulated clients, the system also allows for custom batch selection, giving you complete control over which batches are picked for each order. Critically, the system will block any attempt to pick products that are expired or fall below the minimum shelf life threshold, ensuring that only suitable stock is dispatched and maintaining the integrity of your supply chain at all times.
